Example: a supplier quotation with clear assumptions

Separate fictional mini-example. HH-RFQ-02 v1, 3 September 2026 requests setup of 24 buyer-supplied laptops and two remote handover sessions. These invented figures concern a separate quotation exercise, not the 30-day IT-transition RFP. The request permits prices in GBP excluding tax, asks for inclusions/exclusions and a short delivery explanation, and leaves the encryption profile unspecified.

Supplied rate card RC02 v1, 4 September: £45 per device setup and £180 per remote session. The supplier proposes delivery within ten working days after receipt of devices, approved access and configuration profiles; the quote is valid through 30 September 2026.

Short supplier answer

We quote £1,440 excluding tax to configure 24 buyer-supplied laptops and provide two remote handover sessions. Device setup includes configuration, an installation check and a device record using your approved profiles. The sessions cover handover of the configuration record and user guidance. We propose completion within ten working days after devices, approved access and profiles are available. Please confirm the required encryption profile before configuration begins.

Inclusions, exclusions and the open question

Included: setup labour, the installation check, the device record and two remote sessions. Excluded: laptop hardware, licences, travel and on-site support. Validity: through 30 September 2026. Open question: which encryption profile must be applied? The delivery assumption remains conditional on receiving it; no silence-as-approval rule is implied.

When the buyer supplies a quotation form, its units, fields and instructions control. Transfer the approved figures and check the result; this specimen is not a tax calculator, legal acceptance or promise of portal autofill. For a longer narrative bid, use the filled supplier RFP response example.
